Setting Up the AI Voice Receptionist

How to enable and configure the AI-powered phone system.

The AI Voice Receptionist is an add-on that answers your business calls, captures customer details, and can create jobs automatically — even when your office is closed.

After-hours card authorization

When your office is closed and Guaranteed Jobs is on, OpsBack texts and emails the caller a secure pay link to authorize a card before dispatch. This is not insurance. The hold is replaced by the technician’s final invoice after the visit.

Minutes and overage

Each plan includes a monthly minute allotment (plus any Voice minutes bundled with your subscription plan). Calls continue if you go over — extra minutes are billed on your next monthly invoice at your plan’s per-minute overage rate. Check current usage on the Billing page under AI Voice.

Configuration

Fine-tune the AI receptionist from the Communications page under the AI Voice tab. Pick a voice (Speech v3 is the latest engine; legacy voices are listed separately), play a sample, then save to sync greeting and prompt.

Transfer to a person

Under Configure voice agent, you can turn on Transfer to a person and set an office phone, timezone, and weekly hours. During those hours, if a caller asks to speak to a real person, the AI transfers the live call to that number. After hours it will not transfer — it takes a callback message, still offers to book, and notifies shop admins. This setting applies to your AI Voice receptionist number, not Communications call forwarding.
